Requirements and Rules for Clubhouse Rental
1. All Clubhouse rentals must be approved by the Board of
Directors. The Clubhouse Use Request must be submitted to the Rear Commodore 45
days prior to the event.
2. A $100
Clubhouse rental payment and a copy of insurance showing personal liability
coverage in the amount of $500,000 are due 15 days prior to the rental. Please send to Rear Commodore at the addressed
below.
3. The rental fee includes the exclusive private use of
the Clubhouse, including the building/decks, galley, bar and restrooms. The
Clubhouse is available for rentals Sunday through Thursday, and during boating
season, Friday and Saturday until 5pm. During non-boating season (November
through April) the clubhouse may be rented Friday and Saturday evenings with
prior board approval.
4. Use of the bar is at the Club’s posted prices. All
special order beverages, alcoholic and non-alcoholic, normally not available in
the bar, must be special ordered and purchased through the Vice Commodore. The
regulations of the Department of Alcohol Beverage Control (ABC) states that no
beverages can be brought into the Clubhouse and no alcoholic beverage can be
taken off the premises.
5. ABC rules require all bartenders to be Club members
and only Club members are allowed behind the bar.
6. The member submitting the rental agreement must be
present for the entire duration of the event.
7. Payment in full for the bar tab must be mailed to the
Vice Commodore within three days after the event.
8. Immediately after the event, the Clubhouse shall be
returned to its original condition.

PYC Rules “Rental of the Clubhouse”
Use of the Clubhouse for
private parties or events shall be limited to Club members in good standing,
organizations related to boating and government groups that the Board of
Directors determines is in the best interest to area boating that may be
beneficial to the membership of the Petaluma Yacht Club.
1.
Clubhouse rental is
limited to members in good standing.
2.
Conditions and fees
for the exclusive use of the Clubhouse for non-Club functions will be set by
the board.
3.
Rental of the
Clubhouse requires Board approval and must be member sponsored.
4.
All requests for
rentals must be presented to the Board of Directors at least 45 days prior to
the event and be approved by the Board.
5.
Rental forms must be
complete and presented prior to the Board for approval.
6.
The Clubhouse rental
fee payment and a copy of the members personal liability declarations insurance
page evidencing personal liability coverage in the amount of at least $500,000
are due 15 days prior to the rental.
7.
It is the Rear
Commodore’s duty to work with the person renting the Club before and after the
event to be sure there are no damages to the Club. The Rear Commodore may
delegate this responsibility to another Club member in his or her absence.
8.
The Clubhouse may be
rented any day of the week until 5:00 PM. Evening rentals are limited to Sunday
through Thursday during boating season, May 1st through October 31st.
The Clubhouse cannot be rented Friday or Saturday nights during posted hours of
operation. The exception is during off-season, November 1st through
April 31st; Club members may petition the Board for approval of
Friday or Saturday evening rentals.
9.
The Board of Directors
may approve the use of the club for a private meeting (bar closed) to any
organization related to boating or any government group that the Board of
Directors determines is in the best interest of the Petaluma Yacht Club. The
Board of Directors must grant prior approval for use of the club. The approval
may be for a specific date or approval for a scheduled reoccurring meeting for
that group may be granted.
10.
Club rental is a
privilege of membership. Members may
rent the club for themselves and their immediate family defined as daughter,
son, mother, father, grand parents, stepchildren, stepparents or other familial
relationships that the board may approve.
The event would typically be for wedding receptions, birthdays,
anniversaries and family parties.
11.
Club members may rent
the club for a group or organization function as long as the member belongs to
that group. The member must provide their own personal liability insurance
coverage and personal payment for the rental fee as described in #6 above.
12.
Club members may not
rent the club for the purpose of any personal financial or political gain

Club members may not
rent the club for any commercial enterprise
14.
Do not abuse the
spirit of your membership by using the club for a “private function, meeting or
event” when a rental would be more appropriate.
